Privacy and child data care.

This plain-English notice is written for people using PB Pathway, a private swim progress tracker for swimmer data.

During wider beta and early access, real child or private swimmer data should only be entered by a parent or guardian who has permission to use that information and understands PB Pathway is still in early access.

What PB Pathway is

PB Pathway is a private workspace for tracking competitive swimming progress. Account holders can manage swimmer profiles, race results, PBs, splits, qualifying progress, ranking context, reports, subscriptions and AI-assisted progress explanations.

Who operates PB Pathway

PB Pathway is operated by PB PATHWAY LTD, a company registered in England and Wales. Company number: 17225354.

Data we may collect

We may collect account details such as name, email address and sign-in information; swimmer profile data entered into the app; race results, PBs, splits, notes and report content; subscription and billing status; support messages; and technical usage, security and diagnostic logs needed to operate and protect the service.

How swimmer data is handled

Swimmer data is managed by the account holder and is private by default. PB Pathway is not designed for discoverable child accounts. We aim to store only necessary swimmer information and to use age group or performance context where a full date of birth is not needed.

No public swimmer profiles or social features

PB Pathway does not provide public swimmer profiles, public swimmer leaderboards, social feeds, direct messaging, public comments or public report links. Reports are private inside the workspace unless the account holder chooses to share exported information outside the app.

Why we use the data

We use data to provide the service, track swimmer progress, detect PBs, compare progress with qualifying standards where available, generate private reports, manage subscriptions, secure the service, support users, troubleshoot issues and improve the product.

Service providers we use

PB Pathway works with a small number of trusted service providers that process data only to help run the service:

  • Supabase for secure account sign-in, database and file storage of your account and swimmer data.
  • Stripe for payment processing and Pro subscription billing.
  • Vercel for hosting and deployment of the PB Pathway web app.
  • DeepSeek for generating AI-assisted insights from the information you enter, where that feature is used.
  • Resend for sending account-support and onboarding emails.
  • Meta only when you accept optional marketing cookies, to measure advert performance. Meta tools never load inside the private app and are not given child or swimmer data.
  • Google Analytics only when you accept optional analytics cookies, to understand public website visits. Google Analytics is not used inside the private app and is not given child or swimmer data.

Some of these providers may process data outside the UK. Where that happens, we aim to use providers that offer recognised data protection safeguards.

Analytics and marketing cookies

With your consent, we may use optional analytics and marketing cookies to understand public website visits and advert performance. This includes Google Analytics and Meta Pixel. You can accept or decline these on the cookie banner, and change your choice later through the Cookie preferences link in the footer. These cookies are never used inside the private app, and no child or swimmer data is sent to analytics or marketing tools.

Payments

Payment card details are handled by our payment provider and are not stored directly by PB Pathway. PB Pathway may store subscription status, payment customer or subscription references and plan information so the app can apply Free or Pro access correctly.

AI and screenshot-assisted features

AI insights are based on the data entered into PB Pathway. They are guidance for reflection only and do not replace advice from a qualified coach. AI features should not be used for medical advice, injury diagnosis, unsafe training decisions or as a promise of future performance. Please review AI-assisted suggestions before relying on them. Screenshot-assisted result entry is still in testing and is not generally available; where it is offered, it always asks you to review and edit the extracted details before anything is saved.

Standards, rankings and data sources

Qualifying standards and ranking context may come from sample data, admin-entered data or imported reference data with source details where available. PB Pathway does not imply endorsement by Swim England, Scottish Swimming, Swim Wales, Swim Ireland, Aquatics GB, World Aquatics or any governing body.

Emails we send

PB Pathway sends account-support and onboarding emails to help you set up and use the service. We do not currently run marketing newsletters or promotional email campaigns. These emails are sent to the account holder, not to swimmers.

How long we keep data

We keep account and swimmer data while your account is active so the service works as expected. You can ask us to delete account or swimmer data at any time. Deletion is handled manually for now, and we aim to respond within 7 days. Some limited records, such as payment, billing or accounting records, may need to be kept for longer where required by law or legitimate business records.

Your data rights

If you are in the UK, data protection law gives you rights over your personal data. These can include asking for access to it, correction of it, deletion of it, a copy of it, and asking us to restrict or object to certain uses of it. You can ask us to delete, correct or provide a copy of your account, swimmer and race data. Contact support from the email linked to your account where possible. We may need to verify account ownership before acting, and we aim to respond within 7 days. Exports may be provided as CSV or another reasonable format. PB Pathway does not currently offer instant self-serve deletion or export, so these requests are handled manually by the support team.

Raising a concern

If you have a concern about how your data is handled, please contact support first so we can try to put it right. You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK data protection regulator.
